Nonprofit impact report for the board

A food pantry's messy sign-in sheet turned into a one-page board report in one business day: 376 households (not visits), people served, food given out, a monthly chart and three plain findings. Invented organization, real work.

Reimpact numbers for the board

board meeting thursday and they want "impact numbers." all I have is the sign-in sheet from the last 12 months and three volunteers typed it three different ways (some dates are month/day, some are the other way, some names are in caps, some have HH- in front).

can you make one page the board can actually read? and tell me how many households we really served. not visits. people keep saying "2,000 families" and I don't think that's right.

we also have the volunteer shift log if that helps.

Attached: The sign-in export (about 2,000 rows), the volunteer shift log, last year's one-line summary.

Larkfield Community Pantry (a volunteer-run food pantry, open three days a week) is made up. The work below is real.

Reimpact numbers for the board

Understood: one page for Thursday's board meeting, readable without explanation. The headline is households served once a year, not visits, plus people in those homes, food given out and volunteer hours, with a monthly chart and three plain findings.

What we will send: the one-page report as a PDF, the cleaned visit file, and a note of every fix we made to the sign-in data so a board member can check any number.

What we need: nothing more. We work on a copy and delete it after delivery.

Lands: tomorrow.

Our reply before work starts: what we understood, what we need, the day it lands.

What came back · 1 business day

The result

A one-page board report: 376 households served (from 1,923 visits), 1,100 people in those homes, 45.1k pounds of food, 2,284 volunteer hours, a monthly chart of all visits and first visits, three plain findings, and a 'how we counted' box. Plus the cleaned visit file and the original export for comparison.

What it took

Merged 76 double entries, matched three typing styles to one household ID, fixed ZIP codes that lost their leading zero, put every date in one format, then counted each household once a year. The '2,000 families' was really 1,923 visits by 376 households.

Usually next: The usual next request is the same report every quarter from the new sign-in sheet, or a one-page version for a grant application.

Larkfield Community Pantry is an invented organization; every name, number and phone detail in this sample is made up for it. The work, the structure and the files are real deliverables of the kind sent on Acrid Team.

Two quick questions

How long does a nonprofit impact report for the board take?
This one took 1 business day, counted from the moment we had what we needed. Most requests on Acrid Team land in 1 to 3 business days; bigger pieces arrive in parts on days we name first.
Is my customer data safe?
We work on a copy, in a workspace only this company can reach, and delete it after delivery. Nothing is used to train anything, and nothing leaves the job.
