Grant finder and deadline calendar for a small nonprofit

A food pantry's next six months of grants found and put on one calendar in two business days: nine open grants ranked by fit, every deadline with a drafting window, a this-week list, the ones skipped and why, and an .ics file. Invented organization, real work.

Rewe keep missing grant deadlines

we keep finding out about grants after the deadline. last year we missed the county foundation one by two days and I still think about it.

can someone just tell us which grants we actually qualify for and put the deadlines on our calendar? we're a food pantry, one county, budget around 180k, two part-time staff and a lot of volunteers. the big gap is cold storage. our coolers are from 2011.

I can send our 990, last year's numbers and the program notes. I don't want a list of 200 grants, I want the ones worth our time.

Attached: Last filed 990, last year's distribution numbers (households, pounds), program notes, the board list.

Pinecrest Community Pantry (a volunteer-run food pantry serving one county, two part-time staff) is made up. The work below is real.

Rewe keep missing grant deadlines

Understood: the open grants your pantry actually fits for the next six months, ranked, with every deadline on a calendar you can import, and a plain list of what to do first. Not a database dump.

What we will send: a one-page grant calendar (works on a phone and prints on one sheet), a ranked match list with why you fit and what each funder will ask for, the grants we looked at and skipped with the reason, an .ics file for Google Calendar or Outlook, and the list as a spreadsheet.

What we need: the 990 and last year's numbers. We check every deadline on the funder's own page; a date we cannot confirm does not go on the calendar.

Lands: two business days.

Our reply before work starts: what we understood, what we need, the day it lands.

The result

A grant calendar for November to April: nine open grants ranked Strong, Good or Maybe, each with the amount, the deadline, why the pantry fits and what the funder will ask for; a six-month timeline with drafting windows and deadline pins; a this-week list (board documents, a support letter, the store number, the first draft start); four grants looked at and skipped with the reason (budget too small, needs SAM.gov, members only, deadline too close); the five reusable answers to write once; and Pinecrest-Grant-Deadlines.ics with a reminder seven days before each date.

What it took

Read the pantry's 990 and numbers, matched them against open programs by geography, budget size, focus and eligibility rules, dropped anything that could not be confirmed on the funder's own page, ranked what was left by fit and effort, and turned the deadlines into a calendar with drafting windows, so the first draft starts six weeks out instead of six days.

Usually next: The usual next request is the first application itself (the county foundation draft, due to the director two weeks before the deadline), then the reusable answers so each later application is mostly assembly.

Pinecrest Community Pantry is an invented organization, and the funders are described by type rather than named; every amount and date is an example. The method is the one we use for real: each deadline is read on the funder's own page before it goes on a calendar, a grant that does not fit is skipped with the reason, and no one can promise an award. We have prepared and submitted real grant applications for a veteran nonprofit; we never name clients.

Two quick questions

How long does a grant finder and deadline calendar for a small nonprofit take?
This one took 2 business days, counted from the moment we had what we needed. Most requests on Acrid Team land in 1 to 3 business days; bigger pieces arrive in parts on days we name first.
Is my customer data safe?
We work on a copy, in a workspace only this company can reach, and delete it after delivery. Nothing is used to train anything, and nothing leaves the job.
